Proposed Approval of the Fifth Renewal for US Motors Contract ITB# 2020/2021-A7

BACKGROUND:
The US Motors contract with Tom Evans Environmental, Inc. (Tom Evans) is scheduled to expire
on June 1, 2026. The terms of this contract allow for the renewal of an additional one (1) year
term, contingent upon mutual agreement of the parties. Tom Evans expressed their interest in
renewing the contract, with a requested five percent (5%)rate increase.
Per the Contract,if both parties agree to renew the agreement, CCUA may consider a price increase
in either of the renewal years based on verifiable changes in the marketplace. Staff compared the
rates and have determined the rates to be consistent with the marketplace.
BUDGET IMPACT:
Based on purchases made under the current contract, CCUA's annual cost would increase by
$5,596.79. This estimate is derived from last fiscal year's Water Department expenditures.
RECOMMENDATION:
Staff respectfully requests the Board of Supervisors approve the fifth renewal of the US Motors
Contract ITB #2020/2021-A7, for an additional one (1) year term with a five percent (5%) rate
increase.

The above referenced contract is scheduled to expire on June 1,2026. However,the terms of this contract allow
for the renewal of an additional year, contingent upon the mutual agreement of both parties. The new contract
period will continue from June 2, 2026 - June 1, 2027. If you wish to continue the contract under the current
terms, please sign, date, and return this letter to us by May f, 2025, and we will consider this confirmation of
acceptance of the current terms as stated above.
